Member Data Deletion Policy
Gympe is committed to protecting your personal data and respecting your right to erasure. This policy explains how you can request deletion of your account and associated personal data, and what happens after your request is submitted.
Regulatory Framework
Gympe processes personal data of members of fitness studios and gyms that use our platform. As a data processor and, where applicable, a data controller, we honour deletion rights under the following frameworks:
Under the Digital Personal Data Protection (DPDP) Act 2023, every data principal (member) has the right to withdraw consent and request erasure of their personal data. Under GDPR Article 17, this is known as the "right to be forgotten." Gympe facilitates the exercise of these rights directly through its member-facing app and dashboard.
Data Covered by a Deletion Request
A successful deletion request results in the permanent removal of the following categories of personal data from Gympe's systems:
Identity & Contact Data
Name, phone number, email address, date of birth, profile photo
Health & Fitness Data
Body metrics, fitness goals, health assessments, training history
Membership & Billing Data
Subscription history, payment method tokens, invoice records linked to you
Attendance & Activity Logs
Check-in records, class bookings, session attendance history
Communication Data
WhatsApp notification preferences, message logs, contact preferences
Device & Usage Data
App login sessions, device identifiers, usage analytics tied to your account
Data Retained for Legal Compliance
Certain records may be retained in anonymised or aggregated form as required by applicable law — for example, GST invoice data under the CGST Act 2017 (minimum 7 years), or transaction records required by financial regulators. Such retained data will not identify you personally and cannot be used to contact or target you.
How to Submit a Deletion Request
You can exercise your right to erasure through either of the following channels. Both methods are self-service and require authentication to prevent unauthorised deletion of your data.
Option 1 — Member Dashboard (Web)
Submit a deletion request via the Gympe web dashboard
- 1 Go to dashboard.gympe.in/app/profile/delete
- 2 Log in using the mobile phone number registered with your gym membership
- 3 Review the data summary and confirm your deletion request
- 4 You will receive a confirmation notification once the request is processed
Option 2 — Gympe Member App (Mobile)
Delete your account directly from the Gympe member app
- 1 Open the Gympe Member App on your phone
- 2 Navigate to Profile from the bottom navigation
- 3 Scroll to the very bottom of the Profile screen
- 4 Tap the button highlighted below and follow the on-screen confirmation steps
This button appears in red at the bottom of your Profile screen in the member app.
Deletion Processing Timeline
Gympe is committed to honouring erasure requests promptly. The following timeline applies from the date a verified deletion request is received:
Immediately (within minutes)
Your account is deactivated. Login access is revoked and your profile is removed from all active views.
Within 7 days
Personal data is purged from primary production databases. Active WhatsApp and notification subscriptions are cancelled.
Within 30 days
Residual data is removed from automated backups and disaster-recovery replicas on a rolling basis.
Retained (legal obligation only)
Anonymised or legally mandated records (e.g. GST invoices) are retained as required by Indian law, stripped of all personal identifiers wherever legally permissible.
Your Data Rights
In addition to the right to erasure, you hold the following rights as a data principal under applicable law:
Right of Access
You may request a copy of all personal data Gympe holds about you at any time.
Right to Correction
You may request correction of inaccurate or incomplete personal data via your profile settings or by contacting us.
Right to Withdraw Consent
You may withdraw consent for marketing communications or optional data processing at any time without affecting your membership status.
Right to Data Portability
You may request your data in a portable, machine-readable format. Contact us to initiate a data export.
Right to Grievance Redressal
Under the DPDP Act 2023, you have the right to file a grievance with our designated Data Protection Officer. Unresolved complaints may be escalated to the Data Protection Board of India.
Third-Party Data Processors
Gympe uses a limited set of trusted third-party sub-processors to operate the platform (e.g., cloud infrastructure, WhatsApp Business API, payment gateways). Upon receipt of a deletion request, we instruct all relevant sub-processors to delete your personal data in accordance with our data processing agreements and applicable legal obligations. Sub-processors retain the right to retain data only to the extent required by law.
Note for gym operators: If your gym has independently stored your data outside of Gympe (e.g., in spreadsheets or third-party tools), you will need to contact your gym directly to request deletion of those records. Gympe's deletion request covers only data processed within Gympe's platform.

Policy Updates
Gympe reserves the right to update this Data Deletion Policy to reflect changes in applicable laws, platform features, or organisational practices. Material changes will be communicated to active members via in-app notification or email (if on record) at least 14 days prior to taking effect. Continued use of the platform after that date constitutes acknowledgement of the revised policy. The most current version of this policy is always accessible at gympe.in/privacy/account-deletion.
